Congress Sponsorship Opportunities

Introduction

The South African Association for Food Science and Technology (SAAFoST) will host the 15th World Congress of the International Union of Food Science and Technology (IUFoST) at the International Convention Centre in Cape Town over the period 22 - 26 August 2010.

The Congress will provide an excellent opportunity for academic and commercial food scientists and technologists from all over the world to meet and network in one of the most beautiful cities in the world. The scientific program is designed to cover topical and important issues affecting our profession and will provide a platform for both young and established researchers to present their work. This being the first time that the Congress is held in Africa, delegates will be exposed to the strong food science and technology capabilities and the food research and manufacturing infrastructure that exist in South Africa and the rest of the African continent.

The organising committee intends making the Congress a world class event in terms of scientic content, venue and administration while ensuring that registration fees are set at sufficiently affordable levels to ensure attendance by both local and international scientists. In particular we wish to enable local scientists and students from disadvantaged backgrounds to attend what will undoubtedly be the most important event of its type ever to be held in South Africa and to give them exposure to global trends and knowledge of their profession. We expect in excess of 1500 delegates to attend.

With these objectves in mind, we appeal to potential sponsors to support the Congress. A wide variety of sponsorship optons are available and are listed below. We will be happy to discuss these and if necessary, customise them to suit the requirements of potential sponsors.

Two types of sponsorships are available, namely, specific and development sponsorships.

Specific Sponsorships

CONGRESS ANNOUNCEMENTS

Opportunities exist to sponsor the various formal announcements for the Congress that will be sent out in both electronic and hard copy formats to a comprehensive global mailing list of food scientists and technologists.

WELCOME RECEPTION

Sunday 22 August 2010: Opportunities exist to sponsor either the entire Welcome Reception or specific aspects of it, such as catering, beverages (alcoholic & non-alcoholic) and entertainment. Sponsors will be able to display their brand material and will receive recognition at the reception and in the congress literature.

CONGRESS BANQUET

Wednesday 25 August 2010: Branded event. Naming rights provisionally allocated, but opportunities exist to sponsor other components such as beverages and entertainment.

SOCIAL EVENINGS

Monday 23 August 2010: Selection of casual social events. Options under discussion could include Moyo's at Spier Wine Estate; the Two Oceans Aquarium and an exclusive gourmet dinner demonstrating the best of local cuisine. Tuesday 24 August 2010: SAAFoST's 50th birthday party - "Local is Lekker". Venue to be advised. Sponsors will be able to display their brand material and will receive recognition at the various events and in the congress literature.

LUNCHES

Individual sponsorships available for each of the 3 days, namely, Monday 24 - Wednesday 26 August 2010.

TEAS & COFFEES

Individual sponsorships available for each of the 7 breaks or a combination of breaks:
Monday 24 - Wednesday 26 August 2010: 2 per day
Thursday 27 August 2010: Morning only

CLOSING CEREMONY / COCKTAILS

Thursday 26 August 2010: Cocktails for those who can stay and for attendees of the IUFoST general assembly that will be held after the Congress closing ceremony.

CONGRESS PROGRAMME BOOKLET

This booklet will include delegate information and the congress timetable. The two inside covers of the printed programme will be available to the sponsor for advertising purposes.

Inclusion of additional advertisements may be considered from non-competing companies, subject to the exclusive sponsor's approval.

ABSTRACTS BOOKLET

Will include abstracts of all papers and posters that are delivered at the congress. Delegates use this booklet extensively throughout the congress to plan their day.

BRANDED SESSIONS IN THE PROGRAMME

To be customised to suit sponsors requirements in line with the criteria laid down by the scientific committee.

Opportunities exist to either sponsor a specific section of The formal scientific programme, or to sponsor a lunchtime session outside of the main scientism programme and aimed at informing delegates about the sponsors' products.

MEMORY STICKS

Presentations of the Congress Proceedings / Abstracts will be made available on a memory stick to delegates who attend all four days of congress.

Branding - company name / logo on one side and IUFoST / SAAFoST on other.

LITERATURE / PRODUCT SAMPLES

A number of different sponsorship options exist depending on the type of material the potential sponsor wishes to make available.

Costs are exclusive of design, production and shipping of the insert documents. All inserts are to reach the organisers at least 14 days prior to the event to ensure insertion into conference bags.

SPEAKER'S PREPARATION CENTRE

Loading and pre-viewing of presentations to ensure that they run on the convention centre's central server. Sponsor may brand the centre.

INTERNET CAFÉ

Internet facilities will be available. Sponsors can brand the area and computer screensavers.

WELCOME DESK AT CAPE TOWN AIRPORT

A welcome desk will be set up at Cape Town International Airport to assist arriving delegates and will be staffed by the Congress organising company's personnel. The sponsor may erect a banner next to the welcome desk.

CONGRESS TRANSPORT

Opportunities exist to sponsor transport to the various social events.

BOOKMARK

Can be co-branded with company's name and logo on one side and IUFoST / SAAFoST logos and Congress details on the other.
Sponsor would provide and print the bookmark.

CONGRESS BAGS

Can be co-branded with company's name / logo and IUFoST / SAAFoST logos. Bag design is subject to committee approval.

NAME TAGS

Provisionally allocated.

LANYARDS

Provisionally allocated.

STATIONERY

Folders, Writing Pad & Pen can be branded.

VOLUNTEER'S T-SHIRTS & CAPS

We will make use of predominantly student volunteers to assist in the smooth running of the event. Companies may sponsor apparel and incorporate their logo alongside that of the IUFoST / SAAFoST logos.

Development Sponsorships

This special category of sponsorship is for financial assistance given to facilitate the attendance of delegates who would otherwise not have been able to attend the Congress due to lack of funding. This specifically, although not exclusively, includes Food Scientists and Technologists from the African continent and students. The allocation of sponsorship fundscan be tailored to suit the sponsor's requirements. We can discuss specific development sponsorship options for particular groups of deserving would-be delegates (such as students).

Acknowledgement and appropriate recognition as a Development Sponsor will be given as specified in the "Sponsorships Categories" below. This category of sponsorship would be particularly appropriate for companies who do not necessarily see the Congress as a promotional opportunity but who wish to contribute financially to the success of the Congress as part of a Corporate Social Responsibility or Educational Support Program. For local companies, sponsorship of this nature might also contribute towards their Black Economic Empowerment (BEE) scorecards.

Irrespective of whether a specific sponsorship opportunity from the above list or a development sponsorship is chosen, the level of sponsorship will fall into one of the following categories, for which appropriate recognition will be given.

All sponsorship amounts are exclusive of Value Added Tax (VAT). The 14% VAT rate should be added to the sponsored amount, and can be recovered from the Receiver of Revenue.
